This role is crucial in ensuring smooth coordination of resources, budgets, and project timelines. The selected candidate will assist in handling multiple projects and a large team, ensuring accurate data management and effective communication across stakeholders.Key ResponsibilitiesCapacity Planning: Maintain and organize an Excel-based capacity plan for internal and external team members, ensuring accurate assignments.Timesheet Control: Oversee timesheet submissions and ensure accurate tracking and reporting.Budget and Forecast Management: Track and reconcile data from Planview, ensuring budget, forecast, and actuals align correctly.Project Coordination: Support the PMO lead in managing 10-20 projects annually in Planview, ensuring smooth resource allocation and financial tracking.Documentation and Reporting: Prepare structured reports, maintain data consistency, and ensure clear documentation of project resources and budgets.Stakeholder Communication.Required Skills & QualificationsAdvanced proficiency in Excel.Strong organizational skills, ensuring structured and clear data management.Experience with budgeting, forecasting, and tracking financial data.Understanding of timesheet processes and resource allocation.Fluency in English (Advanced level required).Ability to work proactively and independently in a fast-paced environment.Previous experience in international companies is preferred.Department OverviewThe role is within a department that oversees a financial platform, managing 6-7 products. Each product has 1-2 leads who report status updates. The department head collaborates with the leads to define steering committees, presentations, and project reports.Information Security Policy:As part of your role, you will have access to confidential information related to the company and the Data Retention program. Compliance with internal security policies and client guidelines is mandatory. Signing an NDA (Non-Disclosure Agreement) will be required.
